How to start an office coffee club

A simple, step-by-step guide for the person who ends up organizing the office coffee.

An office coffee club is a small group of coworkers who chip in each month so there is always good coffee in the break room. It works best when it is fair, predictable and easy to see where the money goes. Here is how to set one up.

1. Find out who wants in

Ask your team who drinks the office coffee and who would join. A quick message or a show of hands at a team meeting is enough. Joining should always be optional.

2. Agree on what the club covers

Decide what the money is for: beans or pods, milk, sugar, filters, cups, maybe tea for the non-coffee drinkers. Writing it down up front avoids awkward questions later.

3. Pick a monthly amount

Add up roughly what the office goes through in a month and divide by the number of members. Round to a simple number people won't argue about. You can adjust it later as the group grows or shrinks.

4. Choose one person to host

Someone needs to own the club: invite new people, set the amount and place orders. It helps to name a backup (a co-host) so things keep running when the host is out.

5. Make contributions automatic

The hardest part of most coffee clubs is chasing people for money. A monthly automatic contribution means nobody has to remember, and nobody has to send reminders.

6. Keep it transparent

Members trust a club they can see. Share how much has come in and what was bought, so everyone knows their money went to coffee.

Running your club with Work For Coffee

Work For Coffee was built for exactly this:

  • The host creates an office and sets the monthly contribution amount.
  • Coworkers join with an invitation from the host.
  • Each member sets up and manages their own automatic monthly contribution.
  • Contributions go to the office's shared Club Pot, and members can see its activity.
  • Hosts can appoint co-hosts to share the work.

Creating an account does not charge your card.
