Terms of Use
Last updated October 15, 2026. These terms apply when you access or use Work For Coffee.
Using the service
Work For Coffee helps workplace coffee clubs manage members, office pricing, contributions, orders, expenses and related records. You agree to provide accurate information, keep your login secure and use the service only for lawful purposes.
Office hosts and administrators
Office hosts are responsible for setting their office's membership price, maintaining accurate office records, managing purchases and using Club Pot credit for eligible WFC Store purchases. Platform administrators may manage offices, hosts and access when needed to operate or secure the service.
Membership and payments
Each office sets its own monthly contribution amount. Work For Coffee accepts live online contributions through Stripe for eligible offices. The first contribution is charged after you confirm payment setup, and the amount and renewal information are shown before you authorize automatic monthly or quarterly payments. You can manage your payment method and cancel future renewals from your membership page. A successful eligible payment to Work For Coffee adds WFC Store Credit to the office’s Club Pot exactly once. Manual contribution records are not automatically converted into spendable credit.
Service fees and future changes
A separate Service fee and the full payment total are shown before you authorize payment. Service fees are retained by Work For Coffee to support payment processing and operation of the service; they do not add Club Pot credit. Monthly and quarterly payment options may have different fees.
Work For Coffee may adjust service fees prospectively as part of a pricing or site update. For an increase affecting an existing recurring plan, we will provide clear advance notice by email or another notice you can retain, identifying the new fee, total, effective date and how to cancel. We will provide at least 30 days’ notice, or longer where required by law, before the first affected charge. You may cancel future renewals from your membership page before the effective date. We will obtain any additional consent required by law. Posting revised terms or updating the site alone does not authorize a higher charge on an existing plan.
Fee changes do not apply retroactively to completed payments, and do not reduce Club Pot credit already recorded. Existing recurring charges remain on their recorded terms until the applicable notice and authorization requirements have been met.
Orders, expenses and records
Store orders placed through checkout use the office’s verified Club Pot credit. Product prices, shipping charges, applicable tax and the total credit used are shown before confirmation. Confirming an order deducts that credit and reserves stock. Work For Coffee manually packs and ships accepted orders and provides order status and shipping details in the store. Recording a purchase or expense made outside the WFC Store is a separate record and does not place a WFC Store order or pay a supplier.
Club Pot · WFC Store Credit
Club Pot is Work For Coffee store credit allocated to an office coffee club. Club Pot credit may be used only for eligible goods and services offered through Work For Coffee. It is not a bank account, cannot be transferred between users or offices, and is not redeemable for cash except where required by applicable law.
There is no cash-out, bank withdrawal, user-to-user or office-to-office transfer, payment to arbitrary third parties, general-purpose debit or prepaid card, or interest. Club Pot balances are non-refundable except where applicable law requires otherwise.
Purchasing is limited to the office’s available, funded Club Pot credit. Payment settlement, processing costs, refunds, disputes or incomplete verification may leave part of recorded credit unavailable for purchases until funding is verified. Recorded contributions and adjustments remain visible; a funding hold does not erase them. Funds and credit belonging to another office are not used to increase an office’s purchasing limit.
Hosts and authorized co-hosts control purchasing within office spending limits. Members can see shared Club Pot balances and activity and their own payment history. Detailed store orders and delivery information are available to authorized hosts, co-hosts and platform administrators; private coworker payment details remain protected. The office limit and remaining contribution capacity are shown before adding credit. A contribution above capacity cannot be accepted.
Live contributions are available for eligible offices. Store checkout is available when the warehouse is open, products are published and in stock, and the office has sufficient verified credit and purchasing permission. Delivery is limited to the destination region shown at checkout. Recording a manual expense does not debit Club Pot credit.
